AssureLens is an agentic AI platform for operational planning, risk management, and decision intelligence in the energy industry. It is developed and operated by SwarmLens (operating under Aatoon Solutions LLP). We build intelligent, autonomous AI systems that combine agentic reasoning, multi-agent orchestration, Large Language Model (LLM) integrations, and human-in-the-loop judgement to help organisations make better operational decisions.

This Privacy Policy explains how we collect, use, store, and protect your information when you visit our website, use our platform, or engage with our services. By using AssureLens, you agree to the practices described here. If you have questions, please reach out — we would rather hear from you than leave anything unclear.


2. Information We Collect

2.1 Information You Share With Us

When you create an account, request a demo, contact us, or engage us for a project, you may share details such as your name, email address, phone number, company name, job title, billing information, and project requirements. We only ask for what is necessary.

2.2 Information We Collect Automatically

When you visit our website, we automatically collect technical details including your IP address, browser type, device information, pages viewed, time spent, and referring source. If you interact with AI-powered features, we may log session-level data such as queries submitted and outputs generated.

2.3 Client Data and Project Data

When you use AssureLens, you may upload or provide proprietary materials — well programs, operational reports, AFE documents, risk registers, lessons learned, daily reports, meeting notes, and other confidential information. This is your “Client Data” and it belongs to you. We process it only to deliver the service you have requested.

2.4 AI Interaction and Agent Data

Our agentic AI systems generate operational data as they work — reasoning traces, decision logs, inter-agent messages, retrieval queries, and execution records (“Agent Data”). We collect this for transparency and auditability. Agent Data from your projects is treated with the same confidentiality as your Client Data.

2.5 LLM Interaction Data

AssureLens integrates with Large Language Models (LLMs) such as those from OpenAI, Anthropic, Google, and others. When our systems interact with these LLMs on your behalf, certain data is transmitted as part of the API call — this may include prompt content and contextual data from your documents. We handle this responsibly by minimising data sent to only what is needed, using enterprise API agreements that prohibit providers from training on your data, encrypting all data in transit, never sending credentials or payment information to LLM APIs, and using private deployment options where required.

2.6 Cookies and Tracking Technologies

We use cookies and similar technologies as follows. Essential cookies keep the website functioning — login sessions, security, and basic functionality. Analytics cookies help us understand how people use the site (we may use tools like Google Analytics). Functional cookies remember your preferences. Marketing cookies help us measure promotional campaigns if applicable.

If you leave a comment on our site, you can opt to save your name, email, and website in a cookie for convenience (lasts one year). Login cookies last for two days, screen options cookies for one year. Selecting “Remember Me” extends login persistence to two weeks. You can manage cookies through your browser settings.

2.7 Demo Booking Data

When you book a demo through our Calendly integration, Calendly collects your name, email, and any additional information you provide. This data is subject to Calendly’s own privacy policy in addition to ours. We receive this information to schedule and conduct the demo.


3. How We Use Your Information

We use your information to deliver the AssureLens service — generating planning packs, identifying risks, tracking actions, and providing AI-powered insights from your operational data. We also use it for account management, payment processing, and project tracking; improving our AI models, agent architectures, and platform performance using aggregated, de-identified data (never your identifiable Client Data without explicit consent); communicating with you about support requests, project updates, and relevant information; research and development of new AI capabilities; security, fraud prevention, and compliance; and enforcing our Terms and Conditions and contractual commitments.


4. AI, Agents, and Data Practices

4.1 Your Data and AI Training

We do not use your identifiable Client Data to train general-purpose AI models unless you explicitly provide written permission. We may use aggregated, anonymised patterns to improve platform performance. Enterprise clients can opt out of even aggregated use through their service agreement.

4.2 How Our AI Agents Work

AssureLens uses autonomous AI agents that reason, plan, execute multi-step tasks, and collaborate. Our principles include transparency (every agent action is logged with a full decision trail), auditability (agent reasoning chains, tool calls, and inter-agent conversations are recorded), human-in-the-loop (important decisions always have human checkpoints), containment (agents only operate within authorised boundaries), and accountability (every output traces back to a specific agent, workflow, and trigger).

4.3 LLM Integration Practices

We select LLM providers based on capability, cost, data residency, and privacy requirements. We design prompts to send only minimum necessary context. Enterprise API agreements prevent providers from training on your data. For clients with strict requirements, we can deploy open-source LLMs within private infrastructure. We implement safeguards against prompt injection and data leakage. Retrieval-Augmented Generation (RAG) ensures only relevant document chunks are passed to the LLM. All LLM API calls are logged for auditability and protected with the same security controls as Client Data.

4.4 AI Output Accuracy

AI Outputs may contain errors or hallucinations. We build in safeguards including confidence scoring, source attribution, and fact-grounding through RAG. We strongly recommend verifying AI Outputs before acting on them in critical situations. AssureLens supports human decision-making — it does not replace it.


5. Who We Share Your Data With

We do not sell your data. We share information only with cloud and infrastructure providers (AWS, Azure, Google Cloud) under strict security controls; LLM and AI providers as described in Section 4 under enterprise agreements; service providers for payment processing, email, analytics, and support; engineering partners or subcontractors held to our same standards; in connection with any business transition (merger, acquisition), with advance notice to you; and as required by law.


6. Embedded Content

Our website may include embedded content from other platforms (videos, social media, scheduling tools like Calendly). These behave as if you visited those sites directly and may collect data, use cookies, and track interactions according to their own policies.


7. Data Retention

Account information is retained while your account is active plus a reasonable wind-down period. Client and project data is retained for the engagement duration and then securely deleted or returned per your service agreement. AI logs, LLM call logs, and agent traces are kept for up to 24 months (or as agreed) before anonymisation or deletion. Aggregated analytics data (with no personal identifiers) may be kept indefinitely. Marketing preferences are retained until you tell us otherwise.


8. Data Security

We take security seriously. Our measures include encryption in transit (TLS/SSL) and at rest (AES-256 or equivalent); role-based access controls and multi-factor authentication; network security with firewalls and intrusion detection; secure development practices including code reviews and vulnerability scanning; AI-specific protections against prompt injection, output leakage, and agent boundary violations; incident response procedures; and team training on data protection and AI safety with confidentiality agreements.

No system is completely secure, but we work to protect your data every day.


9. International Data Transfers

Our team, clients, infrastructure, and AI providers may be in different countries. When data crosses borders, we use safeguards such as Standard Contractual Clauses and data processing agreements to ensure appropriate protection.


10. Your Rights

Depending on your location, you have rights over your personal data. You may request access to the personal data we hold, correction of inaccurate or incomplete data, deletion of your personal data (subject to legal obligations), restriction of processing, data portability in a structured format, to object to certain processing including direct marketing, to withdraw consent at any time, human review of decisions made solely by AI that significantly affect you, and an explanation of AI logic and reasoning behind decisions affecting you.

If you are in the EEA, UK, or Switzerland, we process your data based on contractual necessity, legitimate business interests, legal compliance, and your consent where applicable. 12. For California Residents (CCPA/CPRA)

13. Children’s Privacy

AssureLens is designed for businesses and professionals, not for children. We do not knowingly collect information from anyone under 18. If we discover we have, we will delete it immediately.
